Overview

The Arc Otsego is seeking a Receptionist to greet visitors, handle front desk responsibilities, and support agency operations.

Essential Duties And Responsibilities

  • Greet visitors, determine nature of business, and direct them to the appropriate person, meeting, or event.
  • Answer and screen incoming telephone calls; accurately transfer to appropriate staff or take detailed messages.
  • Project a professional, welcoming image in all in-person and phone interactions.
  • Scheduling and Coordination: Reserve and prepare meeting rooms for trainings, interviews, or agency events as needed.
  • Mail, Deliveries, and Communication: Receive, sort, and distribute incoming postal and interoffice mail. Prepare and send outgoing mail, emails, faxes, and courier packages (UPS/FedEx, etc.). Maintain visitor and package logs as required.
  • Clerical and Facility Support: Prepare copies, collate handouts, and assist with meeting materials as needed. Maintain front desk supplies and copy room; arrange for equipment service or replenishment as needed.
  • Recordkeeping and Documentation: Maintain front desk records, logs, and scheduling systems accurately. Ensure confidentiality of sensitive information in accordance with agency policies.
  • Agency Engagement: Interact respectfully and professionally with staff, individuals served, families, and the public. Uphold agency values, mission, and customer service standards. Participate in staff meetings and required training.
  • Other Duties: Perform other receptionist-related tasks as assigned in response to agency needs. Provide two weeks' notice of voluntary resignation.

Education And/or Experience

  • High school diploma or GED preferred. At least one year experience in an office setting preferred.

  • Ability to add, subtract, multiply, and divide using whole numbers, common fractions and decimals.

  • Must be knowledgeable about Internet software, including Microsoft 365. Knowledgeable and trained in the use of other agency-identified technology, including telephone system, copier and mail machine.

Certifications, Licenses, Registrations

  • Must possess a valid NYS driver\'s license and an acceptable driving record. Successful completion of all required agency training.

Physical Demands

  • Physically able to bend/stoop, squat, push/pull, reach above/below shoulder level.
  • Regularly required to sit for long periods of time, walk and stand.
  • Talk or hear both in person and by telephone.
  • Must be able to independently lift and/or transfer, push or pull up to 50 lbs.
  • Must have adequate vision, speaking and hearing ability, to be aware of, detect, and respond to needs when not in immediate vicinity.
  • Specific vision abilities include close vision, color vision, and ability to adjust focus. Use hands to finger, handle, feel or operate office equipment.

Work Environment

  • Located in a busy, open area; works with household cleaning solutions; possible exposure to dust, fumes, odor, loud noise and chemicals.
  • Moderate noise; most work indoors; works with office equipment; may require overtime.

The rate of pay for this position is an annual salary of $19,968 based on $16/hour for a 24-hour work week.
