Overview
The Receptionist is the first point of contact for visitors, clients, and employees, serving as the face and voice of the organization. This role attends to guests in person and by phone, responding to inquiries and providing accurate information about the company to the public, clients, and staff. The ideal candidate is polished, professional, and proactive, delivering a welcoming experience while keeping the front office running seamlessly. With sharp attention to detail, discretion, and a customer-first mindset, the Receptionist manages a variety of administrative and organizational tasks and thrives in a fast-paced environment.
Key Responsibilities
- Warmly greet and welcome all visitors, clients, and employees; ensure they feel valued and directed appropriately.
- Answer, screen, and route incoming phone calls in a courteous and efficient manner.
- Maintain a professional, organized, and presentable reception area at all times.
- Support office operations by assisting with incoming mail, courier deliveries, and distribution of materials.
- Manage conference room schedules, prepare meeting spaces, and ensure rooms remain clean, stocked, and ready for use.
- Assist the Office Manager with ordering, stocking, and maintaining office supplies; serve as backup for mail and deliveries as needed.
- Monitor and maintain front-desk security procedures, including visitor logs and access protocols.
- Process monthly invoices with accuracy and timeliness.
- Serve as Fleet Administrator, managing company vehicle records, scheduling, and related administrative tasks.
- Actively participate as a standing member of the Staff Events Committee, contributing ideas and assisting with event logistics.
- Take initiative in identifying and solving problems, anticipating office needs, and supporting special projects as assigned.
Qualifications
High school diploma or equivalent required. Minimum of one year in a professional office or customer-facing role; experience in reception, administrative support, or front desk operations strongly preferred. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); comfortable learning new software and office technology (e.g., phone systems, scheduling tools, CRM platforms). Strong ability to manage calendars, prioritize tasks, and maintain accuracy while handling multiple responsibilities. Exceptional verbal and written communication abilities, with the confidence to interact with executives, staff, and external stakeholders. Consistent attendance and punctuality with a strong sense of accountability.

Pay Range
Estimated Salary Range: $40,000 - $50,000 annually
ADA Requirements
