Salary Range: $20.00 to $23.50/hr

JOB

SUMMARY

This position is responsible for providing comprehensive support in multiple areas for the Departments of Psychology and Justice and Society Studies (Sociology, Justice and Peace Studies, Criminal Justice).

ESSENTIAL FUNCTIONS

Administrative Duties:

First point of contact and office management

Supplies/maintenance requests

Respond to departmental inquiries

Coordinate office moves/new faculty onboarding

Assist with faculty hiring process

Maintain department rosters and Outlook distribution lists

Requests for service – various as needed

Calendar management

Supervise student workers - Provides administrative support to student employees by approving timecards, tracking hours, and requesting door access. Monitors the funding for student employment.

Academic Scheduling:

Academic scheduling

Course schedule planning for annual upload

Coordinate room assignments

Enter faculty adjunct/overload contracts

Registration support, waitlists, LLCs, and student placement

Monitor Decision Support reports

Assist with Canvas sites

Enter faculty load data and run reports

Marketing and Event Planning:

Web updates

Creation of marketing materials – Canva

Social Media

Submit items and news to the St. Thomas Newsroom and other internal and external media

Event planning

Room reservations

Catering

Social Tables

Coordinate set up and technology needs

Budget Administration:

Assist in annual budget preparation

Prepare and process payments

Contracts

Vendors

Check requests

NBC payments

Run budget reports – track expenses

Wells One reconciliation

Other duties as assigned.

QUALIFICATIONS Minimum Qualifications

High School education or the equivalent

Two years of administrative support experience

Preferred Qualifications

Completion of some college level courses
