Position Summary The Legal Administrative Assistant will provide essential support to attorneys and staff by handling a wide range of administrative responsibilities. This role involves preparing legal documents, managing calendars, coordinating communications, and ensuring smooth day-to-day operations within the practice. We are seeking an adaptable, reliable professional who enjoys working collaboratively and can maintain strong working relationships across multiple office locations. Regular virtual communication and teamwork are key to success in this position. The assistant will focus primarily on providing high-level administrative support to the Family Law & Fiduciary Litigation team. Key Responsibilities
Oversee and coordinate attorney calendars, including scheduling appointments, hearings, meetings, and travel. Draft, format, edit, and proofread correspondence, legal documents, and reports with accuracy and precision. Provide case management support by organizing and maintaining files and records. Assist with the preparation and submission of pleadings, motions, e-filings, and related legal documents, ensuring compliance with court procedures. Manage both physical and electronic filing systems to ensure documents are stored securely and can be accessed easily. Support billing functions, including entering time, generating invoices, and responding to client billing questions. Handle general administrative duties such as answering calls, welcoming clients, and processing mail. Step in as needed to provide backup support to other administrative assistants within the group. Perform additional role-specific tasks as assigned. Qualifications
Bachelors degree preferred but not required. At least five years of administrative experience in a family law practice. Strong organizational and multitasking abilities, with the capability to meet multiple deadlines. Excellent verbal and written communication skills, with a strong eye for detail. Demonstrated commitment to client service. Advanced proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint); familiarity with PDF software such as Kofax Power PDF or equivalents; experience with BigHand Create and Hyperstyles (or similar document styling programs); and knowledge of NetDocs or comparable document management systems. Must be open to learning new technologies. Ability to handle confidential and sensitive information with discretion.
