Administrative Assistant
Location: Garden City, NY
Schedule: Full-Time | Monday–Friday, Onsite
Hours: 9am–5pm
Employment Type: Permanent
Compensation: $24–$26 per hour + discretionary bonus
Position Overview
A full-time opportunity is available for a dependable and professional Receptionist / Administrative Assistant to support daily office operations. This role is essential in maintaining a welcoming front office environment, managing a variety of administrative tasks, and supporting both staff and executive-level personnel.
This position reports to senior leadership in Human Resources and IT.
Key Responsibilities
Greet and assist visitors; manage front desk operations
Answer and route incoming calls to appropriate team members
Coordinate conference room schedules and assist with basic IT setup (with external support as needed)
Manage executive calendars, including scheduling appointments and sending meeting reminders
Handle incoming/outgoing mail and packages; manage postage meter and shipping accounts
Draft and format correspondence using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Monitor and restock office supplies and kitchen items; ensure conference rooms are prepared
Assist with use and troubleshooting of office equipment
Coordinate executive lunches, occasional mailings, and perform local errands (e.g., post office, courier drop-offs)
Input tenant work orders using building management software
Provide support for special projects and conduct basic research
Maintain confidentiality and handle sensitive information with discretion
Qualifications
Minimum of 2 years’ experience in an office or administrative support role
Familiarity with office equipment (e.g., printers, copiers, postage meters)
Proficiency in Microsoft Office Suite (Outlook, Word, Excel); PowerPoint and Visio experience is a plus
Strong communication and interpersonal skills
Detail-oriented and highly organized
Ability to multitask and prioritize effectively in a fast-paced environment
Professional demeanor and a high level of discretion
Team player with the ability to work independently when necessary
