Administrative Assistant

  • Location: Garden City, NY

  • Schedule: Full-Time | Monday–Friday, Onsite

  • Hours: 9am–5pm

  • Employment Type: Permanent

  • Compensation: $24–$26 per hour + discretionary bonus

Position Overview

A full-time opportunity is available for a dependable and professional Receptionist / Administrative Assistant to support daily office operations. This role is essential in maintaining a welcoming front office environment, managing a variety of administrative tasks, and supporting both staff and executive-level personnel.

This position reports to senior leadership in Human Resources and IT.

Key Responsibilities

  • Greet and assist visitors; manage front desk operations

  • Answer and route incoming calls to appropriate team members

  • Coordinate conference room schedules and assist with basic IT setup (with external support as needed)

  • Manage executive calendars, including scheduling appointments and sending meeting reminders

  • Handle incoming/outgoing mail and packages; manage postage meter and shipping accounts

  • Draft and format correspondence using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

  • Monitor and restock office supplies and kitchen items; ensure conference rooms are prepared

  • Assist with use and troubleshooting of office equipment

  • Coordinate executive lunches, occasional mailings, and perform local errands (e.g., post office, courier drop-offs)

  • Input tenant work orders using building management software

  • Provide support for special projects and conduct basic research

  • Maintain confidentiality and handle sensitive information with discretion

Qualifications

  • Minimum of 2 years’ experience in an office or administrative support role

  • Familiarity with office equipment (e.g., printers, copiers, postage meters)

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel); PowerPoint and Visio experience is a plus

  • Strong communication and interpersonal skills

  • Detail-oriented and highly organized

  • Ability to multitask and prioritize effectively in a fast-paced environment

  • Professional demeanor and a high level of discretion

  • Team player with the ability to work independently when necessary
