Job Description
We are looking for a dedicated and detail-oriented Receptionist for a 60 day Receptionist coverage.
Responsibilities:
• Manage the agency’s switchboard and reception area, ensuring calls and visitors are directed appropriately.
• Maintain accurate records of visitors to the agency and monitor required reporting forms.
• Assist tenants and applicants with requests such as document copying, inquiries, and information collection.
• Retrieve, date/time stamp, and distribute incoming mail and faxes to the appropriate departments.
• Prepare monthly reports and maintain referral lists of available rental units as approved by landlords.
• Process tenant retro payments and handle forms related to vacating units, including forwarding addresses and key returns.
• Aid in the completion of client applications, determine required verifications, and conduct initial interviews.
• Assemble briefing and landlord packets, ensuring all necessary materials are copied and organized.
• Attend workshops and seminars relevant to job duties and responsibilities.
• Perform additional tasks as assigned by the Section 8 Manager.
• At least 2 years of experience in administrative assistance or receptionist duties.• Strong knowledge of HUD regulations and public housing processes.
• Proficiency in Microsoft Office Suite and Windows operating systems.
• Excellent customer service and interpersonal skills.
• Ability to manage multiple tasks and prioritize effectively.
• Familiarity with records management and data processing techniques.
• Strong attention to detail and organizational skills.
• Willingness to attend training sessions and adapt to evolving job requirements.
