Our client is a leading global investment banking, securities, and asset and wealth management firm dedicated to delivering world-class financial solutions and exceptional client service. They are seeking a highly organized and professional Administrative Assistant to provide essential support to their team, ensuring operational excellence and efficiency in a fast-paced, client-focused environment. This is an on-site, 7-month contract role based in San Francisco, CA. Pay will be $25/hr.

Overview Administrative support to a team within a wealth management / investment banking environment, focusing on operational excellence, client service, and professional office management.

Key Responsibilities

Managing travel arrangements and processing expenses for team members.

Handling incoming and outgoing mail, including checks, stock certificates, tax forms, and document scanning.

Providing general administrative services such as maintaining calendars, scheduling meetings, and answering phones.

Coordinating and scheduling office events, including recruiting activities, internal meetings, and external client events.

Booking conference rooms, ordering catering, printing materials, coordinating interview schedules, and liaising with building services.

Greeting visitors and ensuring a welcoming, professional office environment.

Assisting the Wealth Management Team in servicing clients with an emphasis on operational excellence and exceptional customer service.

Qualifications

Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook required.

Bachelor’s degree preferred but not required.

Minimum of 2 years of work experience in a professional corporate environment; recent graduates with a strong interest in the financial services industry are also encouraged to apply.

Strong written and verbal communication skills.

Ability to work effectively in a collaborative team environment.

Strong organizational and multitasking skills, with the ability to thrive in a fast-paced setting.
