Responsibilities
Oversee all aspects of building management while acting as a liaison between the Board, tenants, and the Company.
Lead the Board of Directors/Manager meetings by keeping focus on the agenda created.
Load tasks onto the resident/building database, FSRconnect, in Task Administration within 48 hours of any board or annual meeting.
Prepare Board meeting minutes in a timely and professional fashion and deliver to Board within three days of meeting.
Submit board meeting “agenda packages” to Board as required but at least four days prior to meetings using the Meeting Management System.
Be responsible for handling emergency situations and crisis management.
supervise and train building staff members (union and non-union).
Conduct thorough interviews for potential building open positions. Coordinate background and drug tests of potential new hires.
Conduct and manage adequate training of new staff members, as well as the ongoing training of existing staff.
Impose progressive disciplinary action if and when required.
Develop and implement building staff work schedules and provide weekly approvals of building staff payroll in ADP.
Conduct periodic staff performance evaluations and develop improvement strategies.
Monitor the cash and reserve funds of the property; review operating statements and monthly financial reports.
Participate in the preparation of annual operational budgets; assist the property accountant in presenting the annual budget to the Board.
Keep track of property financial variance reports and seek methods to preserve client cash and capital.
Oversee building repairs and apartment alterations; approve payment of vendor invoices via accounts payable software (AvidXchange).
Monitor delinquent tenant/shareholder/owner accounts and address issues promptly.
Ensure that all building permits, licenses, etc. comply with state and local rules and regulations; resolve violations in a timely manner.
Ensure implementation of security and safety safeguards for the portfolio; perform regular property inspections for safety and maintenance.
Communicate mechanical/building deficiencies to building staff and other relevant parties; identify and negotiate with vendors for capital improvement projects.
Ensure proper vendor insurance (as applicable) and assist with annual building insurance renewals; coordinate scheduling of insurance tasks.
Oversee maintenance requirements of the properties’ physical plants (e.g., boiler conversions and HVAC systems); obtain vendor service contract proposals for Board review.
Interface with internal departments (accounting, compliance, closings, etc.) and maintain organized tenant and building files.
Respond to communications in a timely and professional manner, aiming for same-day responses to emails and calls received before 3 PM.
Be familiar with critical provisions of client management contracts and maintain compliance with Property Management Best Practices, particularly FSRconnect.
Notify supervisor within 24 hours of a board or annual meeting with a succinct description of the meeting tone and keep the property questionnaire current with relevant updates.
Skills & Qualifications
8-10 years’ experience in New York City residential condominium and cooperative property management.
Superior verbal and written communications skills with proven customer service experience.
Strong financial acumen with the ability to analyze, prepare, and manage budgets, cash flow, and financial statements.
High-energy attitude, ability to multi-task under pressure, and adapt to changing priorities while maintaining accuracy and attention to detail.
Proven leadership and teamwork skills and the ability to manage multiple priorities.
Experience in large, complex accounts with multiple clients and stakeholders.
Excellent decision-making and analytical skills; strong time management abilities to meet deadlines.
Working knowledge of Microsoft Office and Windows; experience with property management software (AvidXchange, ClickPay is a plus).
