The Administrative Specialist II position is vital to support the Department, and the Administration, Recreation, Culture/Public Arts/Museums divisions within the Culture, Parks and Recreation Department, and also work directly with the Special Events Coordinator as the main support. Experience, Knowledge, Skills: 1-3 years customer service experience required; 1-3 years administrative support experience required; High School diploma or equivalent required; Knowledge of Microsoft office required; Valid driver's license and good driving record required; RecTrac software knowledge preferred. Essential Functions: Daily Functions: Assists with the planning and implementation of Festivals which include the Greeley Arts Picnic, Neighborhood Nights and the Greeley Festival of Trees. Duties may include purchasing supplies, processing contracts, RFP's and payments, developing organization tools for entries and fees mailings, marketing pieces, event preparation, and assisting during event. Accounts Payable and Receivable: Creation of requisitions, purchase orders and request for payments. Input accounts receivable invoices. Includes use of a City of Greeley credit card and performs Visa expense editing for Culture, Public Art and Special Events staff. Manage contract routing and filing for the Director of CPRD, School District 6, vending, Recreation and Culture Division contracts, and Festivals. This also includes booking of rooms, parks, fields, pools, etc. Supports UCCC Advisory Board and Arts Commission with meeting scheduling, taking minutes, filing documents with City Clerk's office. Other duties include ordering supplies, name tags, shipping and mailing, assisting with Department meetings, community meetings and special events. Customer Service: Central point of contact for the CPRD Administration area. Provide quality customer service by assisting customers and through receiving incoming phone calls. Communicate efficiently and effectively to internal and external customers through face-to-face, phone and email interactions. Foster and develop principled relationships with City staff, community partners and organizations. Technology and Risk Management: Effectively utilize software systems such as RecTrac, Microsoft office/Teams, and Oracle. Work Environment: Work is performed mainly in an office environment; Subject to working alone and/or with groups and/or attends meetings; occasional evening or weekend work for special events Extended periods of time at a fixed workstation; May have frequent interruptions; required to multi-task; inflexible deadlines. Physical Requirements: Vision to perform physical activities, read computer keyboards, reference books and other written documents; Strength and stamina enough to walk, stand, stretch, bend, lift or carry up to 50 lbs; Manual dexterity enough to complete daily work such as operate computer keyboards, drive and operate motor vehicles, and operate other office equipment and complete paperwork.
