- Provide employees with insurance and benefit information by researching issues, acting as a liaison to benefit providers, and offering guidance through verbal and written communication.
- Maintain confidentiality and contribute to team efforts as needed.
- Participate in company-sponsored events through committee participation and event planning.
- Assist the HR Manager with job postings, interview scheduling, question preparation, and documentation.
- Facilitate new employee onboarding, including regulatory compliance and benefits enrollment.
- Oversee required health screenings and vaccinations, including scheduling and recordkeeping.
- Coordinate the company drug testing program, including scheduling, record maintenance, and reporting.
- Approve and reconcile invoices for Accounts Payable.
- Manage personnel files for current, archived, and FRBS remote employees.
- Maintain and purge employee records, including I-9 forms, termed employee files, STD/LTD documentation, and 401K election forms.
- Initiate COBRA events for new retirees and manage retiree demographics.
- Ensure compliance with company bylaws and assist with Nominating Committee and Annual Meeting planning.
- Support the HR VP with Board of Directors activities, including meeting preparation and travel arrangements.
- Create and maintain the Retiree Billing spreadsheet for the Accounting Department.
- Track retirees turning 65 and assist with Medicare Advantage enrollment.
- Handle retiree communications, including letters, notifications, meetings, death benefits, dental/life insurance questions, and updates to personal information.
- Address NTCA-related employee benefit questions, retirement illustration requests, updates to personal information, and processing new hires, terminations, and W2 compensation for the pension group.
- Support the Worker Claim process and provide ongoing assistance.
- Assist employees with medical and vision claims, Explanation of Benefits (EOBs), insurance questions, provider inquiries, claim forms, and wellness forms.
- Excellent verbal and written communication skills to elicit cooperation from others and teach subject matter to employee groups.
- Proficiency in Microsoft Office Suite, including Word, Excel, Access, PowerPoint, and Outlook, and other company-specific software systems.
- Ability to organize and prioritize multiple job assignments, coordinate projects, and meet deadlines.
- Knowledge of office practices, time management, record keeping, and filing systems.
- Education equivalent to the completion of high school.
- Additional education and experience in Human Resources principles and practices, and state and federal HR laws and regulations is preferred.
- Human Resources certifications through SHRM or HRCI preferred.
