The HR Assistant will provide administrative and operational support to both the Human Resources and Finance departments at 4M Dental Implant Center. This role ensures accuracy in HR processes, employee records, and financial reporting. The ideal candidate is detail-oriented, highly organized, and able to handle confidential information with discretion while balancing multiple priorities in a fast-paced dental environment.


Key Responsibilities


Human Resources Support

  • Maintain accurate employee records, personnel files, and HR databases.
  • Assist with sending offer letters, new hire onboarding, including documentation, background checks, and new hire system setup.
  • Support benefit inquiries.
  • Manage the HR email inbox.
  • Assist with timekeeping and payroll preparation by ensuring accurate employee data entry.
  • Draft and distribute HR communications, including policy updates and employee notices.
  • Provide administrative support for performance reviews, employee relations documentation, and compliance audits.

Finance Support

  • Support Accounts Payable/Receivable functions, including inputting invoices into Bill.com, tracking and expense reporting.
  • Maintain accurate records related to practice expenses and budgets.
  • Provide administrative assistance with vendor management and contract tracking.
  • General Administrative Duties
  • Answer employee questions related to HR and payroll with professionalism.
  • Book travel/hotel accommodations for employees.
  • Assist in planning management of all Company functions (Annual meeting, Holiday party, Institute meetings etc.).
  • Ensure compliance with federal, state, and local employment laws.
  • Maintain confidentiality of all sensitive HR and Finance information.
  • Assist with special projects and cross-department initiatives as needed.


This position will be based in our Anaheim Hills, CA practice and would be expected to be at our Long Beach, CA location 1-2 days-week.

Requirements:

Qualifications

  • 2+ years of experience in HR administration, payroll, or finance support (dental industry experience a plus).
  • Strong knowledge of HR processes, and basic accounting principles.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with Paylocity and accounting systems preferred.
  • Exceptional organizational skills and attention to detail.
  • Strong interpersonal skills with the ability to communicate professionally, effectively, and handle sensitive information discreetly.

Compensation is $26.00 - $28.00 an hour, depending on experience.
