Overview:
Robert Half’s client, a leading construction company, is seeking a Risk Management Administrative Assistant to provide essential administrative support to the San Diego team. The role involves working closely with project teams, internal staff, and external brokers to help manage documentation, track insurance and bond requirements, and ensure smooth administrative operations. The ideal candidate is detail-oriented, organized, and able to work independently.
Responsibilities:
- Assist with ordering, tracking, and filing surety bonds, owner bonds, and certificates of insurance (COIs).
- Maintain and update logs, spreadsheets, and electronic records for bonds, insurance policies, and project documentation.
- Scan, file, and manage original documents accurately.
- Collaborate with project teams and brokers to gather necessary documentation and ensure compliance with contract requirements.
- Review basic RFP and contract documents to assist with insurance and bond requests.
- Coordinate routine communication with brokers and insurance providers to obtain quotes or policy information.
- Support the Office Manager/Receptionist as needed with general administrative duties.
- Help track deadlines for insurance renewals, certificates, and other risk management-related tasks.
- Provide general administrative support such as filing, data entry, scanning, scheduling, and correspondence.
Qualifications:
- 2–3 years of administrative support experience; construction or insurance experience a plus.
- Highly detail-oriented with strong organizational skills.
- Self-starter able to work independently and manage multiple priorities.
- Proficient in Microsoft Outlook, Word, Excel, and PowerPoint.
- Familiarity with Smartsheet, Procore, or similar software is a plus but not required.
- Reliable, disciplined, and motivated to learn and grow in the risk management field.
