Administrative Assistant

Location Providence, RI 02903 Duration 6+ Months (Potential Contract to Hire Position) Shift Flexible (8AM-4:30PM Or 9AM -5PM with 30 min lunch)

Need someone who is extremely detail oriented, consistent and can work in a fast-paced environment. Someone who is a self-starter and can hit the ground running.

Key Responsibilities of the Administrative Assistant Position at the Investment Office:

Calendar and Communication Management:

  • Schedule meetings, site visits, Zoom calls, and telephone conferences.
  • Manage and maintain complex calendars for the investment staff.
  • Handle correspondence with investment managers.
  • Tactfully screen incoming inquiries, including cold calls.
  • Maintain and update contact lists.

Travel and Logistics:

  • Make detailed travel arrangements in accordance with policies and adjust them as needed.
  • Prepare and submit expense reports.

Meeting and Document Preparation:

  • Assemble materials and presentations for meetings and calls with investment managers.
  • Assist in preparing and publishing materials for Investment Committee meetings.

Data and Information Management:

  • Manage reporting received from investment managers via email and online portals.
  • Assist with document retrieval and overall document management.

General Office Support:

  • Help organize office events.
  • Handle internal facility requests.

Technical Skills:

  • MS Office: Outlook and Gmail
  • Databases: CRM experience
  • SharePoint
  • AI: proactive with how to use it
  • Phone support as needed

Experience Needed:

  • 3-5 years

Educational Requirement:

  • Associates preferred

Must Have Skills:

  • Organization, attention to detail, communication

Parking:

  • We would provide a validation sticker to pay for parking using the lot right next to our building.
  • Please note once the temp is official parking would be handled through the Transportation Office and would be payroll-deducted as per their guidelines.
