Basic Purpose

The receptionist is the first contact for residents, guests, staff, and delivery personnel and is a key part of Customer Service. In addition, the front desk is the command center for emergency procedures.

Major Duties & Responsibilities

  1. Completes all assigned duties, which may change from time to time according to resident needs, staffing levels and working circumstances.
  2. Complies with all company personnel policies and established operating policies and procedures.
  3. Enter, edit, and maintain resident information on computer.
  4. Enter, edit, and maintain staff information on computer.
  5. Screens and announces visitors to residents and staff.
  6. Ensures all visitors are signing in/out.
  7. Monitors Private Duty Personnel to ensure they are in compliance with company policies and procedures.
  8. Log and announce packages and medications to residents.
  9. Delegates staff to deliver packages to resident apartments within 2 hours of receipt of packages (when resident is at home).
  10. Sort and label mail to residents and employees.
  11. Interacts with residents, families, guests, and staff in a courteous and friendly manner.
  12. Answers the phone promptly and willingly offers assistance to everyone.
  13. Takes a message from caller and locates appropriate staff to assist caller when receptionist is not knowledgeable concerning the issue.
  14. Makes arrangements for Lyft/Uber rides and taxi services for residents.
  15. Print daily check-in report for independent living residents shortly after 11am; verifies that all residents are accounted for, and submits report to the COO.
  16. Controls gate access via intercom, camera, and gate locking mechanisms.
  17. Tracks all resident hospital admissions and returns. Sends communication to appropriate staff.
  18. Tracks resident departure and re-arrival to the facility.
  19. Responds first to the fire alarm and resident emergency pendants.
  20. Notifies Administration if a resident who wanders exits the property.
  21. Welcome job applicants; provides applications and directs them to the designated area.
  22. Responds to resident’s needs by filling out work orders for housekeeping/Maintenance.
  23. Monitors and reviews all camera systems diligently throughout shift.
  24. Responds to and reviews daily communication sent to the front desk via email.
  25. Is familiar with and proficient in usage of all computer-based programs Necessary, for daily operations at the front-desk.
  26. Perform other duties as assigned by the Business Office and Human Resources.
Requirements:

Minimum Qualifications

  1. Must possess a high school diploma. Two years of college or 3-5 years office/clerical experience.
  2. Must be able to multi-task efficiently and courteously.
  3. Must use good judgment in problem resolution
  4. Must have excellent verbal and written communication skills.
  5. Must possess general computer knowledge. Microsoft Office Experience preferred.
  6. Must be able to respond to situations quickly and make decisions accordingly.
