Overview
We are seeking an Administrative and Business Management Specialist to support the National Bio and Agro-Defense Facility (NBAF). In this role, you will provide a blend of administrative, financial, and program support that helps the organization operate smoothly. You will work closely with leadership to manage budgets, oversee compliance, coordinate performance processes, and support day-to-day business operations.
Key Responsibilities
- Compile, analyze, and reconcile financial data to support annual budgets, expense tracking, and reporting
- Review and process obligating documents, invoices, travel vouchers, and purchase orders, ensuring accuracy and compliance
- Maintain accountability for assets and property by updating records in federal inventory systems and coordinating proper disposal
- Support the Administrative Officer in developing policies, reports, and business plans that align with USDA and federal requirements
- Coordinate performance management processes, including appraisals, quarterly reviews, and compliance with mandatory requirements
- Track and manage personnel security documentation, including background investigations and re-investigations
- Provide technical and analytical support to leadership for planning, reporting, and decision-making
- Draft, edit, and prepare reports, correspondence, and other communications for management and stakeholders
Work Schedule, Location, and Travel
- Onsite
- Normal office hours are 07:30 to 17:00 Monday through Friday
Requirements
Security Clearance

- Public Trust Preferred
Qualifications
Required:- 1 to 3 years of administrative support experience
- Strong organizational, time management, and communication skills
- Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint, Outlook)
- Experience with budgeting, accounting, or financial data analysis
- Ability to handle confidential information and ensure compliance with federal standards
- Attention to detail and the ability to learn new systems and processes quickly
- Experience supporting federal programs or contracts
- Knowledge of government performance management, personnel security, or property management processes
- Background in bookkeeping, billing, or general accounting
