Front Desk Administrative Assistant
Pay: $15.00 $18.50 per hour
Hours: Monday Friday, 8:00 a.m. 4:30 p.m.
Location: Tulsa, OK
Position Overview:
Trinity Employment Specialists is hiring a Front Desk Administrative Assistant for a client in Tulsa. We are seeking someone who is outgoing, reliable, and comfortable working independently. This role is key to keeping the office running smoothly while providing professional support to staff and visitors.
Key Responsibilities:
- Manage front desk operations, including greeting visitors and answering phones
- Maintain an organized filing system for physical documents
- Perform accurate data entry, including creating pack lists, purchase orders, and invoices
- Scan, save, file, and shred documents as needed
- Receive, sort, and distribute incoming mail, packages, and deliveries
- Run occasional office errands
- Use QuickBooks for invoicing and light Accounts Payable duties
- Monitor inventory and order office supplies
- Check physical finished goods inventory for office staff as needed
- Provide support to all office staff when required
Requirements:
- Valid Drivers License
- Ability to lift and move a bankers box full of files
- Must pass drug and background screening
- Minimum of 1 year office experience
- Strong organizational skills with attention to detail
- Effective verbal and written communication skills
- Ability to manage time, prioritize tasks, and work independently
- Comfortable multitasking and working under deadlines
- Basic math skills (addition, subtraction, multiplication, division)
- Proficiency in Microsoft Excel and QuickBooks preferred
