Executive Assistant to Chief Executive Officer at Renaissance Personnel Group. We are seeking a highly experienced Executive Assistant to support the CEO — someone who is highly organized, thrives in a fast-paced, ever-changing environment and anticipates needs. This role is pivotal to the CEO's productivity and the smooth operation of the executive office in a nationally recognized company headquartered in Phoenix, AZ. Responsibilities
Executive Support: Own the CEO's calendar, inbox, and travel with precision. Prioritize and manage scheduling conflicts fluidly, with a constant awareness of office dynamics and shifting priorities. Anticipation & Foresight: Recognize patterns in the CEO's work style and proactively plan ahead. You'll always be one step ahead, anticipating needs before they arise. Meeting Preparation: Conduct in-depth prep for internal and external meetings, draft agendas, compile background material, and ensure the CEO walks into every room fully prepared. Correspondence & Communication: Draft high-quality, professional written communications and interface with internal teams and external stakeholders on the CEO's behalf. Time Management Mastery: Exhibit sound judgment in triaging tasks and priorities for the CEO. You're efficient, focused, and mindful of where time is best spent. Project & Deadline Management: Keep multiple balls in the air at once. You\'ll manage timelines, track deliverables, and ensure the CEO is aware of all due dates across initiatives. Board of Directors Support: Coordinate Board meetings, manage logistics, prepare Board Books, attend meetings as needed, and draft accurate meeting notes and post-meeting summaries. You understand the formality and discretion required in board settings. Reporting & Information Gathering: Work closely with senior leadership to compile reports and materials for the CEO. You know who to go to and how to get what\'s needed — quickly and diplomatically. Office Rhythm Monitoring: Stay in tune with the pulse of the office and adjust the CEO\'s schedule based on shifting dynamics, priorities, or breaking developments. Expense & Financial Coordination: Manage CEO expenses and reporting accurately and on time. Qualifications
Minimum 5–7 years of experience supporting C-level executives, ideally in high-growth or fast-paced environments. Exceptional written and verbal communication skills. Proactive, highly organized, and solutions-oriented — you love solving problems before they\'re even noticed. Ability to manage confidential information with discretion and professionalism. Experience managing executive calendars, heavy meeting prep, and coordinating across departments. Previous Board support experience is strongly preferred. What We Offer
