Administrative Assistant

Location: Olive Township, MI
Work Arrangement: Hybrid (In-office Monday, Tuesday, and Thursday; remote Wednesday and Friday)
Position Summary
The Administrative Assistant II is responsible for performing advanced administrative and support functions while being trained on higher-level tasks. This position involves handling a variety of clerical, secretarial, and data management duties that require accuracy, attention to detail, and the ability to manage multiple priorities. The role provides critical support to the team by maintaining records, preparing reports, coordinating schedules, and assisting with presentations, while ensuring adherence to company policies and procedures.
Key Responsibilities
- Perform complex clerical and administrative tasks including typing, filing, data entry, dictation, and routine calculations.
- Prepare forms, reports, sketches, diagrams, and other documents with a high degree of accuracy.
- Operate office equipment and utilize computer systems to enter, track, and retrieve information.
- Maintain daily production reports and assist with tracking, maintaining, and reporting on various inventories.
- Assist visitors and handle general office tasks, including travel scheduling, office space coordination, and meeting arrangements.
- Support preparation of presentations and reports using Microsoft Word, PowerPoint, and Excel.
- Manage complex scheduling needs, including integration of conflicting calendar priorities for multiple stakeholders.
- Verify the quality and accuracy of work products, ensuring consistency with established standards.
- Apply company policies and procedures in day-to-day tasks and decision-making.
- Collaborate with internal teams, demonstrating strong interpersonal and communication skills.
Required Qualifications
- Minimum 2 years of experience as an Administrative Assistant.
- Minimum 2 years of experience in a specialized/functional discipline or area.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); Visio and OneNote experience preferred.
- Experience using electronic calendaring systems to coordinate meetings with multiple participants.
- Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
- Excellent verbal and written communication skills.
- Strong interpersonal, analytical, and problem-solving abilities.
- Demonstrated results-oriented approach with attention to detail.
- Associate degree or equivalent work experience preferred.
