Accounting, Hr & Administrative Operations Specialist

This is a hands-on, multi-functional role supporting both accounting and administrative functions within the company. The ideal candidate will be detail-oriented, reliable, and able to wear multiple hats with ease. You will work directly with the Controller, HR Consultant, and other departments to ensure smooth day-to-day operations across finance, human resources, and general administration in a multi-state environment. Responsibilities: Own and manage the Accounts Payable process, including vendor management and timely payments. Enter and reconcile company credit card transactions. Support and back up the Accounts Receivable department as needed. Assist the Controller with general ledger, journal entries, reconciliations, and month-end closing activities. Human Resources Support: Manage reporting and claims for: Unemployment Compensation, Workers' Compensation, Auto and Equipment Claims. Coordinate with our HR Consultant and department managers on: Employee write-ups, disciplinary actions, and terminations, Employee 90 day and annual reviews, New hire onboarding and benefits enrollment, Benefit terminations and employee status changes, Assist with benefits renewals. Operations & Projects: Assist in the development and implementation of a purchasing and inventory processes. Participate in general office administration and projects as assigned. Serve as a resource for internal process improvement and cross-functional coordination. Qualifications: Bachelor's degree in Accounting, Business Management, or a related field (Required) Proficiency in QuickBooks Desktop (Required) 3+ years of experience in accounting or business operations Experience working with multi-state operations including knowledge of state-specific compliance for payroll, unemployment, workers' compensation, and tax reporting Working knowledge of HR practices and reporting requirements Working knowledge of various payroll software's, i.e. ADP, ADP Workforce Now, QuickBooks, Gusto, etc.. Strong organizational, multitasking, and time management skills Excellent written and verbal communication abilities Ability to handle sensitive and confidential information with discretion Self-starter with a proactive attitude Team player who is also comfortable working independently Adaptable and eager to take on new challenges Capable of managing competing priorities in a fast-paced environment Salary $30-35 hour depending on qualifications
