Position Summary The Executive Assistant provides high-level support to the President/CEO by ensuring the seamless execution of responsibilities while upholding strict confidentiality. Key duties include managing complex calendars, email, and task systems; drafting, coordinating, and responding to executive communications; overseeing travel arrangements; and supporting the National Board of Trustees. The role also encompasses preparing formal documents, managing projects, and serving as a primary liaison with a wide range of internal and external stakeholders on behalf of the President/CEO and the Office of the President. Essential Functions
Executive Support: Provides comprehensive executive support for the President/CEOs calendar, email, voicemail, and task management systems. Drafts and coordinates correspondence for President/CEO approval or responds on their behalf within delegated parameters. Guidance provided through written procedures, and during regular 1-on-1 appointments with President/CEO. Tracks President/CEOs commitments (verbal or written) while maintaining the highest level of confidentiality. Assists in tracking and following up on action items from meetings, ensuring commitments are fulfilled and communication loops are closed. Books all travel arrangements for the President/CEO. Adjusts as changes emerge. Codes and compiles receipts, submitting monthly expense reports on behalf of the President/CEO. Preps talking points or briefing memos for video shoots, meetings, or upcoming events; occasionally co-authors drafts for speaking engagements with Communications team support. Supports National Board of Trustees, President/CEO, and Board Committee virtual calls through scheduling assistance; preparing agendas; drafting, compiling, and editing pre-read materials; reports; and taking minutes as requested. Supports in-person National Board meetings in coordination with the Events Lead and/or Events Specialists (currently 3 per year); supports trustee travel as requested. Maintains cloud-based Board Portal; ensures board documents and historical records are archived properly; assists trustees with access issues. As the gatekeeper to the President/CEO, professionally screens requests for connecting with the President/CEO from internal and external parties. Tracks key giving partner relationships stewarded by the President/CEO their interests, key dates, and gift reports. Ensures timely entry and maintenance of key donor interactions in CRM systems. Researches, troubleshoots, and tracks gifts on behalf of major giving partners; collaborates cross-departmentally to support the President/CEOs interface with leadership and constituents. Ensures the President/CEO is fully prepared for meetings; understands the agenda, expectations for involvement, and items to be presented for decision. Supports the Strategic Alignment Division and Mission Investment Division as they produce major donor events to the President/CEOs established standard of quality. Integrates commitments and responsibilities while protecting personal and professional boundaries; helps integrate family calendar commitments with the President/CEOs schedule and communicates updates as requested. Works with other Executive Assistants supporting COO and CFO; helps organize/participate in Executive Team quarterly working retreat days as needed. Liaises with administrative staff in other locations to coordinate nationally focused meetings and events. Maintains and updates the Executive Assistant Playbook; documents repeatable systems and maintains processes for continuity during absences. Other duties as assigned. Spiritual Responsibilities

All YFC employees participate in activities that advance stewardship and fundraising efforts, including inviting to events, contacting donors, writing letters or notes, and ministering to donor contacts. Bachelors degree preferred or equivalent training and experience. 5+ years of progressive experience supporting senior executives in a complex organization preferred. Service in a C-Suite setting preferred. Physical Requirements
Must be present at the Parker, CO office most days. Remote work may be approved depending on the President/CEOs needs. Ability to communicate effectively by phone and email; regular sitting and reading; vision and hearing within normal ranges. Activities require the ability to remain stationary for extended periods and to move as needed within the office. May require lifting up to 20 lbs. Travel Requirements
