Position details

- Schedule: Monday - Friday, 8:00 AM - 4:00 PM (some overtime required, 1-3 hours as needed)
- Contract: 7 months (with potential extension)
- Pay Rate: Up to $22.42/hour
Position Summary
We are seeking a highly organized and proactive Administrative Assistant to support the Global Platform, Site Head, and Site Leadership Teams. This role requires excellent multitasking, communication, and problem-solving skills to ensure seamless operations and executive-level support. The ideal candidate will have a proven track record in managing complex calendars, coordinating travel and expenses, handling sensitive communications, and providing reliable support for special projects.
Key Responsibilities
- Provide administrative support to the Global Platform, Senior Site Director, and leadership teams.
- Manage complex calendars, meetings, and correspondence.
- Coordinate corporate travel, process expenses, and manage travel card program.
- Support leadership meetings, conferences, training sessions, and special projects.
- Handle purchase requisitions, billing, and invoice processing.
- Maintain timekeeping entries and provide backup support for other timekeepers.
- Serve as a point of contact for internal and external inquiries, ensuring professionalism and confidentiality.
- Manage office supplies, equipment, and general administrative tasks.
- Perform other duties as assigned to ensure smooth site operations.
Qualifications & Skills
- Minimum 5+ years of administrative or executive assistant experience (preferably supporting senior leadership).
- Strong organizational and prioritization skills; able to manage multiple competing deadlines.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills with strong attention to detail.
- High level of discretion and confidentiality when handling sensitive information.
- Ability to problem-solve proactively and anticipate leadership needs.
- Professional presence and ability to represent executives with polish and reliability.
- Strong interpersonal skills with the ability to collaborate across teams and departments.
- Customer service experience and adaptability to changing priorities.
