The Executive Administrative Assistant provides executive-level administrative and operational support to the Chairman, Executive Director, and the Department of Pediatrics. This position assists with the management of all functions of the Chairman’s Office and the Pediatrics Administration Suite, coordinates high-level departmental initiatives, and ensures effective communication and workflow across faculty, staff, and institutional partners. Responsibilities include executive scheduling, faculty affairs, event and program management, travel coordination, financial tracking, and special projects. The Executive Administrative Assistant serves as a key liaison between department leadership and internal/external stakeholders, ensuring efficient operations and alignment with the department’s mission.

Required Knowledge, Skills, and Abilities • Proficient computer skills; excellent working knowledge of Microsoft Office software applications (e.g., Word, Excel, PowerPoint), email marketing, (e.g. MailChimp) and cloud-based file storage (e.g., Box).

Required Knowledge, Skills, and Abilities • Proficient computer skills; excellent working knowledge of Microsoft Office software applications (e.g., Word, Excel, PowerPoint), email marketing, (e.g. MailChimp) and cloud-based file storage (e.g., Box). • Excellent verbal and written communication skills with strong attention to detail. • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. • Exceptional organizational and multitasking skills with the ability to manage multiple high-priority projects and meet established deadlines. • Excellent interpersonal skills; ability to interact effectively and courteously with individuals from diverse cultural and professional backgrounds. • Ability to work independently and collaboratively, with flexibility to work evenings or weekends as needed. Required Education and/or Experience • High School Diploma or equivalent • Minimum of three years’ executive-level administrative experience Preferred Qualifications • Bachelor’s Degree • Knowledge of University administrative systems (e.g., Concur, SciQuest, HCM, Interfolio, Kronos). • Familiar with School of Medicine practices and programs such as medical student and resident education. • Experience in a University or Healthcare environment. Compensation Information This position is classified as "exempt, salaried" and is assigned to pay grade 25.
