GENERAL SUMMARY

Under the general direction of the Precinct Two Constable and his Office Administrators. Performs a variety of clerical duties for the Precinct Two Constable's Office's Office.

ESSENTIAL DUTIES & RESPONSIBILITIES

The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.

• Performs clerical duties, which includes answering and directing phone calls in courteous and professional manner, maintaining logs, indexing, preparing and distributing correspondence, verifying and scanning documents, inputting data and maintaining files on computer.

• Reviews and processes filings from the queue and e-filing emails into the attorney management program for criminal, juvenile, mental, civil and DFPS cases.

• Provides customer service, which includes handling inquiries.

• Scans original documents into appropriate database and performs data entry of index information.

• Files and processes cases in the attorney manager program for criminal, juvenile, mental, civil and DFPS cases.

• Performs other related duties of a similar nature and level as assigned.

• Employees are required to comply with safety regulations, procedures, protocol and wear personal protective gear if required.

• Coordinates with various court offices, law enforcement officials and attorneys; assists in obtaining citation and service; prepares correspondence; and searches records.

• Collects and maintains fines and fees from public and attorneys; runs reports on delinquent balances; balances monies collected; and updates records on cases.

• Requisitions purchase orders; requests pricing; orders materials; verifies expenditures; monitors budget; and processes invoices.

• Maintains account information, which includes preparing bank deposits, balancing bank statements, and processing payroll.

• Maintains office supplies, which includes determining inventory levels, evaluating new office products, placing orders for supplies, verifying receipt of supplies, and troubleshooting equipment malfunctions.



MINIMUM QUALIFICATIONS

Education and Experience

High School diploma or equivalent, with under and including 1 year related experience. Combination of education and experience sufficient to successfully perform the essential functions listed above can be substituted.

KNOWLEDGE, SKILLS, and ABILITIES

• Ability to operate office equipment and related software

• Ability to effectively communicate orally or in writing

• Ability to answer and distribute calls in a courteous and professional manner

• Knowledge of clerical procedures

• Knowledge of basic legal terminology

• Strong organizational skills

• Data entry and clerical skills

• Operate standard office equipment, such as computer, keyboards and monitors, copiers, scanners, and telephone

• Use (or learn to use) computer software and systems applicable to the position

• Follow oral and written instructions and procedures

• Collect, organize, and interpret data and prepare accurate records

• Compare data from a variety of sources for accuracy and completeness

• Organize large volumes of detailed data and information

• Maintain well-organized materials, files, systems and tools

• Adapt to changes in work situations and priorities

• Evaluate, organize, and summarize data and information

• Establish and maintain constructive and cooperative interpersonal relationships with staff, peers, supervisors, or managers in the work unit and other departments, as well as with staff of outside entities and other individuals, as applicable to the essential duties and responsibilities
