Position Overview:
The Contract Administrator - Divisional plays a key role in bridging communication and workflow between specific Horwitz Division project management teams, the Accounting department, and internal/external business partners. This role is responsible for administrating subcontracts, change orders, insurance certifications, and project budgets using COINS and other systems. The Contract Administrator ensures seamless documentation, efficient processes, and project completion aligned with Horwitz's goals of safety, customer satisfaction, and profitability. In addition to direct responsibility within specific divisions, this role also acts as backup for other Contract Administrators, when needed. This individual upholds and models the Horwitz core values: Safe, Accountable, Professional, Motivated, Can Do, and Curious.
Key Responsibilities:
These responsibilities generally describe the nature of the position and may not be all inclusive:
Collaborate with the accounting team to ensure timely and accurate contract entry. Request, track, and renew Certificates of Insurance (COIs) for internal divisions, subcontractors, and vendors. Manage master subcontract agreements and subcontractor qualification forms. Obtain and file bid, performance, and payment bonds as required by project scope. Enter budgets into the COINS system with guidance from project managers and leadership. Process subcontracts and subcontract change orders in line with established procedures. Administer tax-exempt project documentation, including ST3 forms. Conduct pre-qualification reviews and documentation for subcontractors. Use the Change Management module in COINS to enter and update change orders. Provide administrative support for collections by assisting with client and subcontractor communications. Participate in team meetings and EOS (Entrepreneurial Operating System) operating framework discussions as applies. Maintain a growth mindset and open communication style across all departments and divisions. Skills and Education:
Skills & Competencies:
Proficient in Microsoft Office (Word, Excel, Outlook); experience with COINS and Procore is highly desirable. Strong organizational skills with exceptional attention to detail. Excellent interpersonal and communication skills. Ability to manage confidential information with discretion. Demonstrated ability to self-manage and prioritize tasks independently. Education & Experience:
Minimum of five years of experience in construction administration, contract management, or related roles. Familiarity with construction processes, documentation, and terminology preferred. Why Horwitz
