Job Summary: We are seeking a highly organized and proactive Project Manager to support a business unit through the successful migration of multiple business-critical systems to a new document management system. The ideal candidate will have a strong background in project management and a proven ability to manage large-scale, cross-functional projects. This Project Manager will be responsible for coordinating project teams, ensuring timely delivery, identifying and mitigating risks, and informing and aligning various stakeholders.

Key Responsibilities:
  • Project Planning & Strategy: Develop detailed project plans and schedules to ensure business unit milestones and timelines align with company-wide goals. Plans will define scope and deliverables for each phase of the migration from legacy systems to the new vaults.
  • Stakeholder Management: Act as the primary point of contact between the internal project teams and external vendors. Collaborate with leadership to ensure alignment and buy-in at every stage, while effectively managing stakeholder expectations by delivering regular updates.
  • Risk & Issue Management: Identify and mitigate risks, including technical, business and/or timeline-related challenges. Escalate issues that cannot be easily resolved to senior leadership, as appropriate.
  • Resource Coordination: Lead and coordinate resources, both internal and external, to ensure proper allocation of time, talent and technology. Work closely with business unit representatives and subject matter experts (SMEs) to develop actionable plans to meet project deadlines.
  • Cross-functional Engagement: Schedule and facilitate routine project meetings with project team members, consultants and SMEs to monitor progress and address risks.
  • Process Improvement & Best Practices: Drive continuous improvement of processes by applying best practices to achieve efficiency and scalability. Conduct reviews at major project milestones to identify lessons learned and opportunities for future improvements.
Required Qualifications:
  • Proven experience in Project Management, including projects that span multiple business units.
  • Bachelor's degree in related field (e.g., Business Administration, Life Sciences, Information Technology).
  • Excellent communication, leadership and negotiation skills, with the ability to manage diverse teams and senior stakeholders.
  • Ability to thrive in a fast-paced, global environment with diverse teams and competing priorities.
  • Proven ability to handle ambiguity and make data-driven decisions.
Preferred Qualifications:
  • PMP or similar project management certification.
  • Strong understanding of data privacy, compliance and regulatory requirements in the pharmaceutical industry.
  • Experience working with Veeva Vault Platform setup and migration.
