Administrative Assistant

We are looking for a detail-oriented and proactive Administrative Assistant to join our team in Woodbridge, New Jersey. This long-term contract position requires someone who thrives in a dynamic office environment and is adept at managing a variety of administrative tasks. The ideal candidate will contribute to seamless office operations and provide essential support to both the team and external stakeholders.

Responsibilities:

  • Welcome and assist visitors at the front desk, ensuring a positive and friendly first impression.
  • Coordinate office operations, including maintaining organization and efficiency within daily workflows.
  • Manage the inventory and ordering of office supplies to ensure the team has necessary resources.
  • Restock the kitchen and maintain cleanliness in shared spaces.
  • Prepare and mail invoices accurately and on time.
  • Provide administrative support for invoicing processes, ensuring proper documentation and communication.
  • Assist the Accountant with various administrative tasks, contributing to financial operations.
  • Handle inbound and outbound calls professionally, addressing inquiries and directing calls appropriately.
  • Undertake additional administrative duties as needed to support the overall functionality of the office.

Requirements:

  • Strong skills in answering inbound calls and providing excellent customer service.
  • Proficiency in data entry with a high degree of accuracy.
  • Experience managing email correspondence and scheduling appointments.
  • Familiarity with Microsoft Office Suite, including Excel, Outlook, PowerPoint, and Word.
  • Ability to handle both inbound and outbound calls effectively.
  • Excellent organizational skills and attention to detail.
  • Capacity to multitask and prioritize in a fast-paced environment.
