Job Description

Essential Responsibilities:

  • Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters
  • Design and ensure (including content coordination) operating mechanisms such as 1:1s, team meetings (including in-person/virtual offsites), all hands meeting etc., are conducted
  • Draft and review organizational announcements for the leader in partnership with Internal communications
  • Manage travel arrangements and create & submit expense reports
  • Provide special meeting/event planning and logistics (offsites, all-hands, team activities, retirement events, etc.)
  • Compile and format leadership pitches, organizational communications, and other special projects

Minimum Required Qualifications

  • Associate degree or High School Diploma / GED from an accredited school or institution
  • Advanced in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Desired Characteristics And Experience

  • Strongly preferred: 5+ years of executive administrative support experience
  • Strongly preferred: Experience using Generative AI GPT applications and prompting.
  • Strongly preferred: Experience using Miro
  • Experience working in and navigating computer applications
  • Strong writing and grammar skills
  • Detail oriented and ability to multitask
  • Strong communication skills and ability to learn and understands all policies, practices, and procedures.
  • Working across time zones and cultures in support of a global team
  • Strong sense of priority and interpersonal skills
  • Ability to work independently and solve problems
  • Strong team player and desire for proactive approach

This role requires access to U.S. export-controlled information. Therefore, for applicants who are not U.S. lawful permanent residents, U.S. Citizens, or have been granted asylee or refugee status (i.e., not a protected individual under the Immigration and Naturalization Act, 8 U.S.C. 1324b(a)(3), otherwise known as a U.S. Person), employment will be contingent on the ability to obtain authorization for access to U.S. export-controlled information from the U.S. Government.
