Our client is a financial service company. They are looking for an Administrative Assistant to join their Manhattan, NY office.

Responsibilities

  • Manage calendar for multiple executives with competing priorities according to their preferences
  • Prioritize meetings and proactively identify and resolve schedule conflicts
  • Correspond effectively and keeps managers’ calendars well organized
  • Coordinate meetings, calls, and video conferencing with multiple time zones and participants
  • Collaborate across departments to confirm availability for participants
  • Print and distribute meeting materials following firm-wide deadlines
  • Manage all aspects of meeting logistics (i.e., VC details, conference rooms, A/V assistance, and catering)
  • Arrange travel through an online booking tool and travel agency according to the company policy
  • Oversee all logistics of travel arrangements, including ground transportation and booking hotels
  • Produce final travel itinerary, including detailed information on client meetings

Requirements

  • Associate’s Degree
  • 5+ years of administrative experience supporting multiple executives
  • Working knowledge of Microsoft Office Suite
  • Strong written and verbal communication skills, including an excellent telephone presence
  • Able to prepare professional correspondence
  • Experience managing varying responsibilities and adapting to changing situations
  • Team-oriented with a positive can-do attitude
  • Strong initiative to improve processes and procedures and your professional growth
