Responsibilities
- Attend all meetings with one of the company owners; actively listen and take clear, accurate meeting notes.
- Distribute meeting minutes in a timely manner; follow up on action items.
- Maintain excellent organization of calendars and meeting schedules.
- Prepare materials in advance for meetings (agendas, reports, presentation decks, etc.).
- Manage day-to-day administrative tasks: filing, document management, email correspondence, travel arrangements, etc.
- Anticipate needs of the owner; proactively manage small details so the owner can focus on higher-level decision making.
Qualifications
- 1-2 years of prior administrative or assistant experience (similar duties).
- Strong written and verbal communication skills.
- Exceptional organizational skills, attention to detail.
- Comfortable in meetings, with good listening, summarizing, and follow-through.
- Proficiency with common office software: Microsoft Office (Word, Excel, PowerPoint), experience with calendar tools, video conferencing tools.
- Ability to manage multiple tasks, prioritize, and work under changing demands.
- Professional demeanor; comfortable interacting with executives, clients and internal teams.
