Job Summary
The Senior Administrative Assistant provides administrative support to hospital administration, including scheduling, meeting coordination, event planning, and a variety of duties as assigned.
Reports to: Chief Executive Officer (CEO) • FLSA Status: Non-Exempt
Responsibilities
- Foster good relations in all encounters between customers, employees, and patients
- Maintain professional skills and confidentiality
- Prepare correspondence, forms, reports, minutes, presentation materials, and other written communications
- Coordinate preparations for senior management and department director meetings; record minutes as needed
- Plan and complete special projects and assignments for the CEO; organize Board and Leadership group events
- Prepare Administrative Call Schedule; complete applications for Hospital License and surveys; support continued operations documentation
- Answer and screen calls for the CEO/CNO/CFO; manage mail and scheduling
- Maintain calendar for the CEO; order office supplies and coordinate repairs
- Maintain timecards and department documentation; knowledge of Joint Commission standards
- Assist with Board of Trustee packets, bylaws updates, and communications with the HSC
- Coordinate with recruitment for executive-level interviews; support quarterly Town Hall meetings
- Process invoices via P-card; manage Kronos edits; maintain contract files and MediTract/Contract Collaborator systems
- Notify management of contract renewals and terminations; ensure timely processing
Essential Functions
- Foster professional relationships between customers, employees, and patients
- Maintain confidentiality and professional standards
- Compose and transcribe correspondence, minutes, reports, and presentation materials
- Support senior management meetings and board activities; prepare materials and minutes as requested
- Coordinate special events, board sessions, and communications with stakeholders
- Manage licenses, surveys, and documentation for continued operations
- Coordinate with executive leadership and department managers; support contract management
- Maintain knowledge of hospital departments and organizational functions
Qualifications
Minimum Education
- Associate Degree in Administrative Support, Office Management, or related field preferred
- High School Diploma preferred
- Three years of administrative experience required
Required Skills
- Excellent oral and written communication; proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook, TEAMS)
- Strong critical thinking, decisive judgment, and ability to work with minimal supervision
- Ability to work in a stressful environment and uphold Code of Conduct and Core Values
- Experience with Lawson, Kronos, and Laborlytics preferred
- Ability to collaborate with CEO, CNO, CFO, People Services Director, Department Managers, Board of Directors, and Medical Staff
- Ability to work normal business hours with overtime as needed
- Strong verbal and written communication for administrative management when required
- Familiarity with hospital departments and problem-solving under pressure
- Maintain harmonious relationships across nursing, medical staff, and administration
Functional Demands
- Problem-solving skills; reading, writing, and communication abilities required
- Extended desk work with occasional lifting up to 30 lbs.; standing and walking as needed
- Ability to adjust work schedule to meet hospital needs
