Overview

Responsibilities
- Welcome clients, vendors and visitors to the office in a professional manner and notify the appropriate parties of their arrival; maintain visitor log as requested.
- Open the office every weekday.
- Answer all incoming calls to the main phone line and direct calls appropriately.
- Deliver incoming faxes to attorneys and assistants.
- Light typing, including data entry.
- Schedule conference rooms and visiting offices in coordination with administrative staff.
- Maintain calm in the event of hostile and/or difficult situations and administer the appropriate use of emergency procedures.
- Sort incoming mail and deliveries.
- Deliver afternoon mail to postal carrier.
- Verify the timely delivery of all overnight packages sent out by office personnel the previous day and ensure prompt notification to the sender of any failed deliveries.
- Arrange ground transportation for attorneys and/or clients as requested.
- Arrange catering and individual meal orders for meetings as requested and set up conference rooms for meetings in coordination with administrative staff.
- Assist with other projects as requested (i.e., mailings, labels, typing, entering attorney time).
- Prepare check requests and other reimbursement forms as requested.
- Track office supply inventories; replenish supplies in a timely manner.
- Track marketing material inventory and prepare marketing brochures for speaking engagements.
- Scan/copy documents for uploading to the document management system as requested.
- Maintain copiers (paper and toner) on a daily basis.
- Maintain and update periodicals in library.
- Interface with building and parking management, engineering personnel, and security.
- Assist with overall office appearance.
- Performs errands and other duties as needed.
Qualifications/Skills
- Between one and three years as a receptionist in a law firm or client-service organization.
- Pleasant, professional and tactful with ability to operate a multiple-line telephone console and greet clients, vendors and visitors.
- Excellent written and oral communication skills, as well as the ability to multitask and prioritize.
- Ability to work independently with little supervision.
- Organized, with attention to detail and excellent follow-up skills.
- Excellent written and oral communications skills with a willingness to learn and take on responsibility.
- Punctual with excellent attendance.
- Courteous, reliable, professional, with excellent teamwork skills.
- Knowledge of Microsoft Outlook, Word, basic Excel.
Educational Requirements
High School Diploma or equivalent required.
Compensation
For New York, the expected hourly range for this position is between $25.00 and $30.00. The actual compensation will be determined based on experience and other factors permitted by law.
