Overview
Executive Assistant position located in Washington, DC. This is a contract role within the U.S. Department of State. The Department of State leads American diplomacy and advances U.S. national security interests. The Bureau of International Narcotics and Law Enforcement Affairs (INL) conducts policies and programs to combat international narcotics production and trafficking and to strengthen law enforcement capabilities overseas. This position is contingent upon award of contract for BPA Call. Position title: Executive Assistant. Location: Washington, DC. Security clearance: Top Secret required; contractor may begin with an interim Top Secret clearance. Closing date: September 11, 2025. Duties And Responsibilities
Review and edit documentation requiring INL/FO Principals’ clearance, including Congressional Notifications, Congressional Budget Justifications, Operational Plans, Interagency Agreements, Bilateral Letters of Agreement, and International Organization Letters of Agreement. Ensure completion, accuracy, and adherence to Department and Bureau policies. Advise office contacts on revisions or enhancements needed. Prepare correspondence, reports, charts, data visualizations, and other documents. Review for financial data accuracy and overall narrative consistency. Ensure proper grammar, punctuation, and formatting. Liaise with document originators to finalize documents in line with policies and regulations. Liaise with leadership across regional and functional offices on clearance issues. Support the Senior Advisor and Special Assistant in reviewing briefing materials, interagency agreements, Letters of Agreement, and budget documents for Front Office principals. Follow up on projects and assignments from INL/Front Office and propose solutions when problems occur. Support daily information briefings attended by Front Office principals. Review incoming publications, regulations, and directives; disseminate relevant items to staff as appropriate. Assess and refine policies, issuances, and directives; propose procedural updates when needed. Coordinate and oversee projects requiring cross-office collaboration, including official travel and briefing materials for INL Principals. Manage flow of correspondence and written/oral tasks for the office, including 7th floor taskers. Ensure internal operations are consistent with INL/FO guidance and respond to requests from INL Front Office Principals, Congress, and others. Schedule meetings, manage attendance, and coordinate with participants; reschedule as needed and arrange substitutes when necessary. Receive visitors and phone inquiries, determine routing, provide routine information, and refer non-routine matters to appropriate staff. Follow up on email inquiries and ensure timely action; track commitments and ensure proper execution. Maintain records and classification controls for office materials; manage file systems and conduct annual inventories. Utilize software tools (databases, spreadsheets, graphics, word processing) to create standard reports and presentations; transmit documents electronically as required. Stand in for Office Administrators from other INL offices when needed. Minimum Qualifications
U.S. Citizenship Bachelor’s degree from an accredited institution Four to six years of relevant experience with knowledge of international narcotics and law enforcement programs or equivalent experience; familiarity with management policies, the Foreign Assistance Act, and related guidelines Knowledge of Federal policies and procedures, including the Federal budget process Strong written and verbal communication skills with a range of stakeholders Ability to provide guidance on interpretation and application of analyses Experience drafting U.S. government reports and documents (e.g., INCSR, embassy cables) Preferred Qualifications
Experience supporting the Department of State’s INL or similar bureau Strong editing skills for clear, accessible documents Ability to coordinate with senior leadership and multiple organizations Proficiency in Microsoft Office Suite, SharePoint, and Adobe Acrobat Ability to visually analyze and present financial and program data Ability to manage multiple activities with changing priorities Executive-level administrative and business process experience Familiarity with DoS standardized document formats Knowledge of INL programs and foreign assistance activities Level Of Effort
Full-time: Monday through Friday, 40 hours per week. Telework
