We are seeking an Executive Assistant to join our high-performing, fast-paced team. This is an exciting opportunity for an early-career administrative professional with 4+ years experience who is eager to deepen their skills, work alongside savvy operators and investors, and grow within a dynamic investment environment. In this role, you will work closely with experienced Executive Assistants and provide direct support to a team of 4-5 Investment Vice Presidents, ensuring smooth daily operations through calendar, travel, and meeting management. You’ll gain unique exposure to a high-functioning investment firm and a clear path to increased responsibility as you demonstrate reliability, discretion, and initiative. Responsibilities
Provide proactive administrative support to 4-5 Investment VPs managing schedules, meetings and priorities across team members. Own and orchestrate their complex, shifting calendars, including cross-time-zone meetings and last-minute changes. Coordinate domestic and international travel: handling multi-leg logistics, visas, and last minute adjustments. Prepare and submit accurate expense reports and maintain organized records and reconciliation. Offer scheduling context and timely reminders, flagging conflicts, helping prep for meetings, and ensuring readiness. Over time, this person will take on drafting and managing basic correspondence, deck materials and meeting assets with professionalism and clarity. Track tasks and deadlines across the VP group to drive operational alignment and calendar efficiency. Help strengthen internal administrative workflows and support occasional onboarding for new admin team colleagues. Handle highly sensitive information with discretion, sound judgment, and the highest level of integrity. Serve as a trusted partner, anticipating needs, staying one step ahead, and taking initiative to resolve issues before they escalate. Step in to support fellow Executive Assistants when needed, contributing to a highly collaborative and dependable administrative team. Qualifications
4+ years of relevant administrative experience, preferably supporting multiple stakeholders or leadership. Proficiency in Google Workspace and Slack; familiarity with Zoom and expense tools a plus. Exceptionally organized with strong time management, task-tracking and follow-through. A confident, professional communicator, diplomatic, and comfortable interacting with senior team members. Calm under pressure; able to manage changing demands with grace and focus. Values teamwork and is eager to learn from experienced EAs and contribute to team success. Committed to discretion, integrity, and professionalism in handling confidential information. Interested in building a long-term career in executive support or operations. Bachelor’s degree is strongly preferred. Must provide strong references confirming reliability, discretion, and professionalism. Location and Compensation
San Francisco, hybrid work model Base salary range for this role is $140,000-160,000 (plus discretional bonus) taking into account numerous variable factors that are considered in making compensation decisions including but not limited to role level, skill sets, experience, training, licensure, certifications, and organizational requirements.
