The Executive Assistant & Board Liaison

serves as a critical link between the CEO, Board of Trustees, committees, and key stakeholders. This position manages executive priorities, coordinates governance functions, and ensures seamless communication and operations at the highest level of the organization. This position requires exceptional organizational skills, personal integrity, excellent interpersonal skills, independent decision-making abilities, technological proficiency, diplomacy, discretion, and tact. Responsibilities

Executive Support (70%): Manage the CEO’s complex calendar, including high-level internal and external meetings with trustees, donors, partners, and community leaders. Prepare the CEO for meetings and presentations through research, briefing materials, and logistical coordination. Oversee special projects that advance the Primo Center’s mission. Board and Governance Management (20%): Serve as the primary contact for current and former Trustees, fostering strong relationships. Implement and manage Board Management software. Organize all Board and Committee meetings, including agenda development, meeting notices, attendance tracking, and material distribution. Record and archive official meeting minutes in compliance with bylaws and governance best practices. Maintain accurate demographic and service term data for Board and committee members. Coordinate governance documents and ensure timely distribution and acknowledgment. Operations and Event Coordination support (10%): Oversee general office management, including ordering and stocking supplies. Plan and coordinate meeting and event logistics, including reservations, vendor coordination, set-up/breakdown, and technology support. Prepare presentations, reports, and mailings as needed. Qualifications

Required: Bachelor’s degree (or Associate degree with equivalent experience) Exceptional organizational skills and attention to detail Strong interpersonal and customer service skills Proficiency in Microsoft Office Suite and Outlook Ability to manage multiple priorities and adapt to changing needs Commitment to diversity, equity, inclusion, and access Preferred: Experience with Board Management software General database management experience Proficiency with audio/visual technology Experience supporting nonprofit boards or executive leadership Able to anticipate needs and prioritize; good “peripheral vision” Personal Attributes

This position may require occasional weekends and/or extended workdays Physical Requirements

Lift and carry up to 25 lbs. (e.g., supplies, personal belongings) Stand, walk, bend, and climb stairs frequently throughout a shift Respond rapidly to crises—move quickly across the facility and grounds Work in a variety of indoor settings; occasional exposure to loud or crowded environments Reporting Relationship

This position reports to the Chief Executive Officer, consistently representing the CEO with utmost professionalism and collaborating with the entire Primo Center team, our Board of Trustees, funders, and the broader community supporting the Primo Center’s mission and values. Compensation And Benefits

Salary: $60,000 - $70,000 (exempt, full-time).
