The Document Control Specialist plays a vital role in ensuring the integrity and accessibility of firm documentation across all practice areas. The ideal candidate will handle the lifecycle of legal documents—from intake and version control to distribution, retention, and archiving—supporting attorneys and support staff with rigorous attention to detail and effective workflows.
Key Responsibilities
Oversee document intake, classification, and version management within the firm's document systems
Apply consistent metadata standards, ensuring proper tagging, formatting, and version clarity
Collaborate with attorneys, paralegals, and administrative staff to coordinate filing, revisions, and document distribution
Conduct meticulous quality control to verify completeness, accuracy, and compliance with firm standards
Facilitate digitization efforts for physical records and streamline organized archiving and retrieval processes
Maintain documentation logs and generate progress reports on pending items, workflows, or audit readiness
Provide user assistance and procedural training on document control best practices and system use
Support the firm's readiness for internal and external audits by maintaining compliant documentation procedures
Qualifications & Skills
At least 1–2 years of experience in document control, records management, or administrative support—preferably within a legal or regulated services setting
Strong competency in Microsoft Office applications, especially Word and Excel; familiarity with legal document management systems is advantageous
Exceptional organizational skills and keen attention to detail with the ability to manage multiple tasks under deadlines
Strong communication skills, professional demeanor, collaborative mindset, and discretion in handling confidential client information
