Job Title: Asian American Studies Administrative Support Coordinator Classification: Administrative Support Coordinator II Department: Ethnic Studies Operations Division: Vice President, Academic Affairs Salary Range: Classification Range $4,058 - $6,653 per month (Hiring range depending on qualifications, not anticipated to exceed $4,058 - $4,400 per month) Appointment Type: Ongoing Time Base: Full Time Work Schedule: Monday Friday, 8:00 AM 5:00 PM. We are seeking an exceptional individual to join our team as the Asian American Studies Administrative Support Coordinator (Administrative Support Coordinator II). The ideal candidate will demonstrate a positive attitude, energy, ethical practices, and a commitment to diversity, openness, flexibility, and integrity. The Asian American Studies Administrative Support Coordinator provides lead administrative support to the Department, Department Chair, and Faculty. Responsibilities include coordinating workflows, organizing department events, monitoring class enrollments, assisting advisers with student information, running reports, inputting course schedule information and term workloads, processing lecturer and graduate assistant contracts, providing budget support and reconciliation across multiple accounts, and supervising/mentoring office staff and student assistants. The role also involves tracking attendance, coordinating IT and telephone requests, serving as lead Department Information Technology Coordinator (DITC), and performing other duties as assigned. Responsibilities
Provide lead administrative support to the Department, Department Chair, and Faculty; coordinate and monitor office workflows and timelines; delegate tasks as appropriate. Organize department events and receptions. Monitor class enrollments; access student information for advisers; run reports and queries. Input course schedule information and term workloads; process lecturer and graduate assistant contracts. Provide budget support: monitor and reconcile multiple budget accounts; reconcile procurement cards; compile budget reports. Provide lead support and training to office staff and student assistants; hire and process student assistants; oversee their work. Track faculty and student assistant attendance; coordinate information technology and telephone requests; serve as lead DITC. Perform other duties as assigned. Essential Qualifications
High School diploma or the equivalent and five years of progressively responsible experience in general office, clerical, or secretarial work or the equivalent. Comprehensive and detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough mastery of English grammar, punctuation, and spelling. Expertise in using office software packages, technology, and systems. Ability to independently handle multiple work unit priorities and projects; interpret and apply policies and procedures with judgment. Ability to troubleshoot most office administration problems and respond to inquiries related to the work area. Ability to understand problems broadly and anticipate impacts on other areas; analyze operational and procedural problems and develop, evaluate, and implement solutions. Ability to perform business math, analyze budgetary data, and make accurate inferences. Ability to write and present reports effectively; handle interpersonal interactions at all levels, including sensitive situations; use negotiation and persuasion to achieve results. Ability to use discretion and maintain confidentiality as required. A background check (including a criminal records check) is required for employment. A conditional offer may be rescinded if disqualifying information is revealed, or if information is withheld or falsified. Failure to complete the background check satisfactorily may affect continued employment of a current CSU employee offered the position. Preferred Qualifications
Bachelor's Degree from an accredited four-year college or university. Experience in an Academic office setting for at least two years or more. Special Working Conditions
