We are seeking a highly organized and proactive

Executive Assistant

to provide comprehensive administrative support to the senior leadership at Home Instead. The ideal candidate will be a strategic partner, ensuring the smooth and efficient operation of the executive office. This role requires exceptional communication skills, a high level of discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Calendar and Schedule Management:

Expertly manage and maintain complex schedule, including coordinating internal and external meetings, appointments, and travel arrangements.

Communication Hub:

Serve as the primary point of contact for the team, screening and prioritizing all incoming communications, including phone calls, emails, and correspondence. Draft professional and confidential communications on behalf of the leadership.

Administrative Support:

Prepare reports, presentations, and other documents. Organize and maintain digital and physical filing systems, ensuring all sensitive information is handled with the utmost confidentiality.

Meeting Coordination:

Prepare meeting agendas and materials, take detailed minutes, and track action items to ensure timely follow-up.

Operational Support:

Assist with special projects, conduct research, and perform data analysis to support strategic decision-making.

Office Management:

Oversee day-to-day office operations, including managing supplies, coordinating with vendors, and ensuring a professional and welcoming office environment.

HIPAA Compliance:

Maintain strict adherence to HIPAA regulations and other healthcare-related privacy standards. Qualifications: Experience:

2-3 years of experience in an executive administrative role, preferably within the healthcare, home care, or a related field.

Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with calendar management software.

Exceptional organizational skills and meticulous attention to detail.

Strong verbal and written communication skills.

Demonstrated ability to maintain confidentiality and exercise discretion.

Excellent problem-solving skills and the ability to anticipate needs.
