Provide proactive, confidential, professional administrative support to the Executive Director of DEI and the Division of Diversity, Equity, and Inclusion. Collaborate and support other executive assistants on campus as needed. Provide excellent and inclusive customer service, and maintain positive and collaborative working relationships. Act as a liaison between students, administration, instructors, staff, SBCTC, and the public. Maintain the calendar of the Executive Director of DEI; coordinate, schedule, and organize meetings; prepare agendas and materials; take and distribute minutes; arrange conferences as needed. Attend meetings as needed and report conclusions and status to staff; transmit assignments to relevant parties. Assist with creating training materials and programming related to equity and inclusion; partner with college departments to support professional development for the college community. Assist with budget-related tasks: creating purchase requisitions, maintaining records, preparing status reports, and processing budget transfers and reimbursements; develop budget estimates and assist with budget maintenance. Proofread and edit documents; compose routine communications; prepare college forms and travel documents. Complete projects at the direction of the Executive Director of DEI; coordinate events and activities (retreats, staff training, celebrations); provide division-wide event support. Engage in professional development to advance equity work of the institution. Other duties as assigned. Qualifications
Three years of office support experience; experience in a DEI role is highly desired. Demonstrated leadership supporting diverse populations and a commitment to an inclusive and equitable work environment. Exceptional communication, diplomacy, confidentiality, and independent judgment skills. Proficient in Microsoft Office; ability to learn new software; strong editing, proofreading, and notetaking abilities. Ability to work with individuals for whom English is not a first language; promote universal access and accessible content. Attention to detail with strong task management and time-priority skills; ability to work collaboratively in a team. Professional representation of the college with tact, discretion, and courtesy. Regional language skills beyond English are preferred (Spanish, Vietnamese, Russian, Somali, Chinese). Working Conditions
Working hours are generally MondayFriday, with occasional evenings and weekends. Primarily in-office with frequent computer use; some travel to trainings or events; remote work may be possible as needed. Policies & Benefits (Summary)
