Description
Reporting to the Executive Director of the Center for Excellence in Learning, Teaching, and Assessment, the Administrative Assistant is responsible for providing high level administrative support to the Executive Director in administrative tasks, including coordinating events, scheduling meetings, managing financial documentation, developing communications, and facilitating communication between the Center and other teams. The Administrative Assistant will help ensure the smooth operation of the Center by providing essential organizational support. This position requires a flexible work schedule, including occasional early mornings, late evenings, and/or weekends to support events.
Responsibilities
- Manages the planning, coordination, and execution of events, workshops, and faculty development programs.
- Coordinates meetings for the Center’s staff by preparing agendas, and follow-up actions.
- Assists with the preparation of tracking contract forms, invoices, and other financial documentation.
- Develops clear and effective newsletters.
- Organizes records and databases for event participation, feedback, and other metrics to support reporting and evaluation efforts.
- Serves as a first point of contact for faculty inquiries related to programming, resources, and scheduling.
- Coordinates routine communication with faculty participants, including reminders, confirmations, and post-event follow-up.
- Supports the setup and administration of virtual workshops/webinars (e.g., via Zoom, Teams, or other platforms), including recording, breakout rooms, and chat moderation.
- Provides high level administrative support to the Center’s staff.
- Performs other related duties as assigned.
Qualifications
- Bachelor’s degree required.
- 1-2 years of related experience in administrative support, preferably in an academic or educational setting.
- Excellent written and oral communication skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office 365 suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
Preferred Qualifications
- Familiarity with AI tools and technologies is preferred.
- Experience in an academic or higher education setting is a plus.
- Commitment to supporting faculty and the mission of the Center.
