JOB SUMMARY
AAA Security Guard Services is ready to hire a reliable, motivated Administrative Assistant who will undertake a broad set of administrative and clerical tasks, such as providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities, particularly preparing reports, conducting inventory and maintaining appropriate filing systems. You will have to ensure the efficient and smooth day-to-day operation of our office.

You should have excellent time management and organizational skills and be able to organize work using tools, like Google Docs, Microsoft (MS) Suite and various office equipment. Must have a keen ability to multi-task and strong oral and written communication skills. It is also necessary to have previous experience as an Administrative Assistant, Office Assistant or Secretary.

RESPONSIBILITIES:
  • Arrange events, appointments and travels
  • Manage phone calls and correspondence (including email, memos, letters, and forms, etc.)
  • Attend meetings and take detailed minutes
  • Participate in the preparation of regularly scheduled reports
  • Organize contact lists and filing systems
  • Greet clients and support visitors in a professional and courteous manner
  • Help applicants, clients and company representatives contact each other
  • Review and update office policies and procedures
  • Monitor office supplies and research new deals and suppliers
  • Monitor and manage inventory of equipment, uniforms, other security items
  • Prepare schedules, monitor information and submit reports
  • Collaborate with managers and supervisors to handle requests and queries

QUALIFICATIONS:
  • 3+ years' experience of working on an Administrative Assistant, Office Assistant of Secretary or other relevant position
  • Significant experience with office management systems and procedures, as well as with office equipment, such as printers and fax machines
  • Good practical experience with MS Office, particularly MS Excel, MS PowerPoint and Google Docs
  • Strong time management, organizational skills and problem solving skills with the ability to effectively and consistently prioritize work
  • Strong written and verbal communication skills
  • Excellent attention to detail skills with the ability to multi-task and meet deadlines
  • Associate's degree; additional training and qualification as an Administrative Assistant, Office Assistant or a Secretary
  • Must be able to maintain confidentiality, be flexible and able perform other office duties as needed
