Our client is a growing pharmaceutical company and they are now looking for an Administrative Assistant.

Position Overview
The Administrative Assistant is a key support role within the organization, responsible for performing a variety of administrative and clerical tasks to ensure the efficient operation of the office. This position requires a highly organized and detail-oriented individual who can manage multiple tasks simultaneously and provide support to various departments and team members.
Responsibilities Of The Administrative Assistant
- Provide excellent customer service to all guests, clients, employees, vendors, and callers.
- Answer all incoming calls in a professional and courteous manner.
- Direct phone inquiries to appropriate staff members or to customer service numbers.
- Manage the reception area, greet and direct all visitors, including vendors, clients, and job candidates, in a professional and friendly manner.
- Use word processing software to prepare invitation letters and other documents.
- Sort incoming mail and courier deliveries for distribution.
- Prepare and send outgoing mail and courier parcels.
- Create a filing system for all hotel bookings, flight reservations, and vendors.
- Provide secretarial and administrative support to management and other staff.
- Make travel, hotel, and other arrangements for employees.
- Make arrangements for breakfast and lunch for meetings.
- Purchase, receive, and store office supplies ensuring that basic supplies are always available.
- Monitor and order mailing supplies.
- Maintain and update database of office supplies inventory.
- Request price quotes, negotiate with vendors to ensure best prices for hotels and supplies.
- Assist executives with sending out letters, making travel arrangements, preparing expense reports, downloading data from FTP servers, and other duties as needed.
- Assist head executives and other senior executives with preparing documents, flight and hotel bookings, preparing and binding reports, couriering documents, etc.
- Make hotel, transportation, and other reservations for senior executives from India offices and elsewhere coming to the US for various business meetings and conferences.
- Strong experience in scheduling.
- Proficient in Microsoft Suite.
- 1+ years of experience in an administrative capacity.
- Ability to be organized.
- Ability to multitask.
- Bachelor's degree preferred.
