Position Overview
The primary responsibility of the Receptionist is to greet visitors, residents, and employees at the front desk, answer the telephone, manage petty cash funds, and perform secretarial duties for the administration and general office duties.
Essential Job Functions
- Greet visitors, residents, and employees at Mullet Place both in person and by phone.
- Assist the Assisted Living Director and Life Enrichment Staff as requested.
- Receive, distribute and forward incoming memos and messages to various departments.
- Maintain Petty Cash with the proper receipting and maintaining the controlled balance.
- Email work orders to Maintenance department as requested by Mullet Place residents and staff.
- Prepare name plates for Resident rooms.
- Greet visitors to Hesston Bakery and Cafe, and answer the cafe phone on the occasion that calls roll unanswered.
- Assist Senior Living Advisors in printing information packets and welcoming visitors.
- Provide resident needs such as personal funds, mailing, making copies, giving change, taking payments, etc.
- Print all publications as directed.
- Maintain a supply of forms, Maintenance requests, lunch tickets, etc.
- Manage lost and found process/storage.
- Maintain Christmas and special occasion decorations for the enjoyment of visitors, staff and residents and coordinate the decorating with Life Enrichment.
- Work alongside Villa Life Center receptionists to complete front desk tasks for the organization as assigned.
- Assist Executive Director in various tasks as needed.
Qualifications And Experience
- Must be at least eighteen (18) years of age
- Must have strong communication and outstanding customer service skills
- Must have prior office experience maintaining detailed, organized, and accurate records
- Must have experience exercising good judgement in a variety of situations
- Must be able to balance multiple priorities effectively and efficiently
Physical Requirements
Light Work – Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Requires walking or standing to a significant degree; or requires sitting most of the time but entails pushing and/or pulling of arm or leg controls.
