Responsibility Summary

The Bilingual Receptionist is to ensure the provision of reception services in a child and client friendly environment.

Primary Responsibilities:

  • Answer switchboard accurately, professionally, and politely.

  • Directs calls to appropriate staff and/or voicemail and records written messages, when necessary.

  • Displays a positive attitude and maintain a professional appearance.

  • Observe and comply with all security measures that are in place.

  • Receives all visitors in a pleasant and welcoming manner, escorts families to family rooms and documents room assignment.

  • Tracks and monitors all POD assignments and usage.

  • Process and distribute incoming mail and maintain the office supply closet.

  • Provide administrative support, enter surveys into ETO, and survey phone follow up calls.

  • Maintain the Reception area, keeping it clean, picking up toys, replenishing coffee etc. throughout the day.

  • Documents all completed Transportation from the Lyft/Uber entry log in ETO.
  • Responsible for scheduling and tracking Lyft and Uber services.

  • Participate in professional development and training opportunities.

  • Perform other duties as assigned.

Discretion

The Bilingual Receptionist has a low-level range of discretion and independent decision-making.

Supervisory Responsibilities

None

Relationships

The Bilingual Receptionist works closely with the Facility Operations Manager, Support Services team, and all ChicagoCAC departments and Partners.

Qualifications
Requires a minimum of 2 years of experience as a receptionist and a high school degree. Must have experience using electronic data management systems and working knowledge of Windows and Microsoft Word. A clear professional voice is necessary as well as the ability to interact with our clients. Strong organizational, problem solving, written and oral communication skills required. Ability to multi-task and work effectively in a multi-disciplinary team setting.

    • Paid Time Off (“PTO”): PTO starts accruing the first day of employment and accrues at a rate of 35 days in a 12-month period. 
    • PTO days are used for all days off, including holidays and sick time so you have maximum flexibility in the use of your PTO. 
    • Timing of vacations may be dependent on client needs, as that’s our first priority. 
    • PTO goes up to 40 days after 5 years. 
    • Additional PTO for FMLA-related reasons up to 20 days. 
    • A remote work policy that provides flexibility in work hours so long as operational needs are met. 
    • Regular expert training on evidence-based therapy modalities, which includes being able to earn Continuing Education Units. 
    • A casual dress code.

Monday - Friday: 8:00 AM and possibly as late as 8:00 PM some days. 3 days per week include evening hours.
