Job Overview:
We are looking for a friendly, organized, and detail-oriented Veterinary Receptionist to join our team at Lenoir City Animal Clinic. The ideal candidate will have experience working in a fast-paced veterinary or healthcare environment, with excellent communication and customer service skills. This position plays a critical role in providing a welcoming atmosphere for clients, managing phone calls, scheduling appointments, and supporting our veterinary team with various clerical tasks.

Key Responsibilities
  • Client Service: Serve as the first point of contact for clients, providing a friendly, professional greeting in person and on the phone.
  • Appointment Scheduling: Efficiently schedule appointments for routine and urgent care visits, ensuring accurate client and pet information is captured.
  • Check-In and Check-Out: Handle patient check-ins and check-outs with accuracy, providing information about services rendered, payments due, and next steps for follow-up care.
  • Client Communication: Answer client inquiries, both in person and over the phone, with professionalism, and direct concerns to the appropriate team member when necessary.
  • Administrative Support: Maintain patient records and update client information in the practice management system. Ensure all documents are completed accurately and filed appropriately.
  • Billing and Payments: Process payments for services, accurately handling cash, credit cards, and insurance claims. Prepare invoices and explain charges to clients.
  • Inventory Management: Assist with tracking supplies, ensuring that clinic inventory is maintained in an efficient and cost-effective manner.
  • Team Collaboration: Work closely with the veterinary team to ensure smooth clinic operations, patient flow, and timely communication.
  • Client Education: Provide general information to clients regarding services, vaccinations, pet care, and preventative treatments, helping them understand the importance of the care their pet is receiving.
  • Records Management: Keep accurate and up-to-date patient records, ensuring compliance with confidentiality.
Skills, Knowledge & Expertise
  • Experience: Previous experience in a veterinary or healthcare setting is preferred, though not required. A minimum of 1-2 years of customer service experience, ideally in a veterinary clinic, animal hospital, or similar setting.
  • Education: High school diploma or equivalent is required. Further education or certification in veterinary reception, medical office administration, or similar fields is a plus.
