Summary
In support of the universitys mission and objectives, the Executive Assistant oversees the office operations and provides administrative support within the Office of the President, including calendar management, travel coordination, handling communications, and processing expenses. Responsibilities
Calendar Management and Scheduling: Manages the Presidents schedule, coordinates complex schedule needs, and prepares briefing materials for meetings and decisions. Travel Coordination: Arranges complex travel logistics, including flights, accommodations, ground transportation, and related reimbursements in compliance with policies. Front Desk Operations: Manages daily front desk operations, serves as the primary point of contact for access to the President, and maintains a professional office environment. Record Management: Maintains accurate records, implements organized filing (electronic and physical), and handles sensitive information with discretion. Expense Management: Processes invoices, reimbursements, and reports using university systems and ensures timely, policy-compliant submissions. Communication and Correspondence: Drafts and manages written communications, prepares materials for meetings, and maintains records of communications and engagement. Liaison and Relationship Management: Develops relationships with donors, colleagues, and partners; supports external events and engagement efforts; tracks donor interactions. Qualifications
Education and Experience
Post high school training required; Bachelor's degree preferred, or equivalent experience. Five or more years experience as an executive-level assistant supporting senior leadership, with demonstrated ability to manage complex schedules, confidential information, and high-level communications. Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams). Familiarity with Works, Jenzabar, and Paycom is preferred. Essential Competencies
