Overview
Non-exempt (compensatory and/or overtime eligible); full-time; 40 hours per week; Monday Friday; 7:30 am 4:30 pm; full benefits. This position performs secretarial, administrative, and support duties in the Adult Services Unit at the Frederick County Department of Social Services. Supervision is received from the Management Associate for the Assistant Director of the Adult, Child & Family Services Division. NOTE: The upper pay range reflects possible wage rates for internal County transfers and promotions, which are calculated per County policy. For external hires, offers are made at the base wage rate. Essential Duties and Job Responsibilities Compose and prepare correspondence, memorandums, and other written work Review and respond to incoming mail, e-communications, etc. Take Unit meeting and Guardianship hearing minutes for compilation and distribution Perform clearances in computer database and enter client demographics into statewide data management system Assist as a member of an interdisciplinary team including, Adult Service Program Manager, Nurse Supervisor, In-Home Aides, Social Workers, and Case Workers Prepare agendas, take meeting minutes and attend Adult Service meetings with Aides, Social Workers, Case Workers, Nurse Supervisor and Program Manager Create, compile, and prepare statistical and data reports; provide detailed program analysis Compile, analyze, model and interpret data and perform moderate level mathematical functions Create, develop & maintain MS Excel spreadsheets, forms, documents, and other templates to be utilized by the Adult Services Unit Process, prepare and track invoices for payment utilizing MS Excel spreadsheets Assist in preparing and monitoring budgets for the Adult Services Unit Perform general office duties (i.e. photocopying, typing, faxing, filing, etc.) Maintain office supply inventory; verify and store incoming office supplies Set-up and maintain manual and computerized files and filing systems Assist with the Services Division sponsored Gift Drive on behalf of the Adult Services clients Prepare agendas, take meeting minutes, and attend in-person Adult Service meetings with colleagues at both on-site and off-site locations Perform other related duties as required

Qualifications High school graduation, or the equivalency Minimum 3 years of administrative support work experience to include direct customer service responsibilities Intermediate skills in the use of Microsoft Office 365 (Word, Excel, Outlook, Teams)
KNOWLEDGE, SKILLS AND ABILITIES: Strong clerical and record-keeping skills to accurate complete reports Accurate math skills including the ability to accurately generate formulas in MS Excel and compile, analyze, and interpret data Ability to accurately compile and prepare statistical data and reports Ability to listen effectively and attentively to effectively take meeting minutes and transcribe from handwritten notes Ability to effectively access and utilize Microsoft Office Suite, programs, e-mail, spreadsheet, data management systems and other systems and equipment, and to learn new software as it is required Ability to effectively organize work, determine priorities, including the ability to make decisions and complete assigned duties with attention to detail and with minimal errors and supervision Discretion and good judgment in dealing with sensitive and personal information with ability to maintain appropriate confidentiality Strong and effective spoken and written (English) communication skills Ability to establish and maintain effective working relationships with persons of diverse educational, cultural and economic backgrounds, co-workers, and other related agencies and offices
PREFERENCE MAY BE GIVEN FOR: Experience working or supporting older adult patrons Experience analyzing and interpreting data Advanced skills in the use of Microsoft Excel
PHYSICAL REQUIREMENTS / WORKING CONDITIONS: While working in this position, the employee is required to constantly sit and perform repetitive motions; frequently walk; occasionally reach; and rarely climb, stoop, lift up to 20 pounds and, push up to 40 pounds. While working in this position, the employee is required to constantly work indoors
Available for varied evening and weekend work hours to accommodate meetings, special events, etc. Ability to provide own transportation to meetings, etc.
