Job Summary
The Hotel Spa Receptionist is the welcoming first point of contact for spa guests, ensuring a seamless and relaxing experience from arrival to departure. This role manages guest check-ins and check-outs, schedules appointments, assists with inquiries, processes payments, and oversees front desk operations with professionalism and care. By combining exceptional service with strong organizational skills, the Spa Receptionist helps create a tranquil environment that reflects the highest standards of hospitality.

Key Responsibilities

  • Guest Experience & Customer Service
  • Greet guests warmly, provide spa tours, and explain amenities, services, packages, and promotions.
  • Manage guest check-ins and check-outs, confirming reservations, verifying information, and ensuring accurate records.
  • Schedule appointments for treatments such as massages and facials using spa booking software.
  • Answer phone calls, respond to emails, and handle guest inquiries and special requests promptly.
  • Assist guests with lockers, robes, slippers, and other spa essentials.
  • Offer towels, refreshments, and comfort items to enhance the spa experience.
  • Maintain a welcoming, calm, and professional atmosphere throughout the spa.

Front Desk & Administrative Support

  • Process payments, issue receipts, and handle cash or card transactions accurately.
  • Reconcile daily transactions and prepare end-of-shift reports as required.
  • Monitor appointment schedules and coordinate with therapists to ensure smooth service flow.
  • Maintain accurate guest records and confidentiality of personal information.

Spa Facility Cleanliness & Maintenance

  • Ensure all spa areas—including treatment rooms, locker rooms, saunas, steam rooms, lounges, and showers—are clean, sanitized, and well-maintained.
  • Restock towels, linens, amenities, and refreshments regularly.
  • Monitor spa equipment and promptly report maintenance issues.
  • Launder linens and towels as needed and ensure all areas remain tidy and visually appealing.
  • Follow strict health, safety, and sanitation guidelines.
  • Prepare treatment rooms before and after each service to ensure smooth guest transitions.
  • Assist therapists and staff with daily operations.
  • Organize and maintain inventory of spa products, linens, and supplies.
  • Communicate effectively with spa management, housekeeping, and hotel departments.

Sanitation, Safety & Compliance

  • Adhere to health and safety regulations, sanitation standards, and infection control procedures.
  • Maintain a clean and organized workspace across all spa and wellness areas.
  • Safely handle chemicals, equipment, and supplies in compliance with SDS and OSHA guidelines.

Company Policies & Professionalism

  • Follow all hotel policies, including time & attendance, grooming & uniform standards, meal & rest breaks, and professional conduct.
  • Uphold confidentiality regarding guest information and preferences.
  • Deliver courteous and respectful service to all guests and colleagues.

Skills & Qualifications

  • Previous hospitality, customer service, or spa experience preferred.
  • Strong attention to detail and commitment to cleanliness.
  • Excellent communication, organizational, and interpersonal skills.
  • Ability to multitask and remain efficient in a luxury spa environment.
  • Basic knowledge of payment processing and cash-handling procedures.
  • Ability to stand, walk, bend, push, pull, and lift up to 40 lbs. for extended periods.
  • Perform cleaning and restocking duties across spa, pool, and fitness areas.
  • Comfortable working in warm, humid, and aromatic environments.
  • Available for flexible schedules, including nights, weekends, and holidays.
  • Current Food Handler’s and Responsible Beverage Service (RBS or equivalent) certification, or ability to obtain upon hire.
