Administrative Clerk
The Administrative Clerk for the Ancillary Services Division provides superior customer service via the department's main phone lines and reception area serving the public, courts, law enforcement, and other government agencies. The position provides a variety of administrative duties for the division, including those confidential in nature. Position Qualifications: High school diploma or GED. Six (6) months of clerical and/or customer service experience. OR Post-secondary education may substitute for the minimum qualifications on a year-for-year basis. In order to be considered for employment with the Maricopa County Sheriff's Office, must possess a valid Arizona driver's license or have the ability to obtain by the time of hire. Training that may be provided on-the-job: FEMA NIMS
IS100 and 700; Safety; Payroll; PREA. Prior to hiring, the Sheriff's Office requires that all candidates pass a background review. Our Preferred Candidate has: Intermediate to advanced level knowledge of grammar, spelling, and punctuation. Intermediate to advanced skills using Microsoft 365 and Office applications (e.g., Excel, Word). Bilingual in English/Spanish. Enters and tracks computer database applications and uses Microsoft 365 and Office Suite applications. Maintains accurate tracking system for forms, memorandums, employee evaluations, and other documentation processed by the Ancillary Services Division. Performs routine clerical work including filing, billing, verifying and recording information. Provides customer service via telephone, email, and in person for the public and other County employees. Files and distributes the division's daily correspondence, reports, and incoming/outgoing mail. Serves as the front-line contact for greeting and directing employees, visitors, vendors, and the general public. Responds to inquiries from MCSO employees and provides information to varied groups and individuals. Schedules meetings and reserves conference rooms. Compiles and maintains data for statistical reports. Maintains good attendance to perform duties as scheduled and/or assigned by the supervisor. Performs other duties as assigned. Working Conditions: Work occurs primarily indoors and may involve entering a secured facility where interaction with inmates may occur. Tasks require manual dexterity of hands and body to operate office equipment as well as managing frequent interruptions, time pressures, and high work volumes. Job includes team-oriented activities and interaction with all levels of County management and personnel as well as the public. Responsibilities require concentration, accuracy, ethical conduct and a professional demeanor. Skill in using computer applications including spreadsheets, database, and word processing software. Operating standard office equipment. Ability to interpret and explain rules and regulations. Interact professionally with the general public and vendors and maintain effective working relationships. Communicate effectively in English both verbally and in writing.
