Union Construction Office Manager
PrideStaff is currently seeking a dependable, reliable, and knowledgeable part-time Union Construction Office Manager for a growing Electrical Contractor in the Mokena, IL area. The ideal candidate must be detail-oriented, have a high sense of urgency, keen eye for details, and can work under minimal supervision. Shift: Monday-Friday 8am-4:30pm Pay: $20-$30/hr (Depending on experience) Job Responsibilities: Prepare proposals, contract documents, purchase orders, change orders and project files. Assist in the preparing of applications for payment. Prepare lien waivers for execution and transmittal. Prepare and transmit close-out documents. Collect and prepare weekly payroll. Prepare certified payroll. Print and review vendor A/P invoices for payment and approval. Process A/P invoices in QuickBooks. Process customer billings (A/R) in QuickBooks. General clerical tasks, answering phones, utilizing voicemail and/or taking messages. Manage calendars using Outlook. Order office supplies. Follow up with the collection of A/R customers. Other relatable tasks. Qualifications and Skills: High School Diploma or equivalent MUST have a minimum 2 years of experience as a Union Construction Administrative assistant, including familiarity preparing and processing pay applications, lien waivers, and various other contractual documents. MUST have QuickBooks and Bookkeeping experience. Strong computer skills are imperative. Proficiency in Microsoft Office Suite, specifically Word, Excel, and Outlook. Ability to update, create and maintain organized filing system both electronic and paper. Ability to take initiative and work independently. Ability to communicate effectively in real time, ask questions, and follow direction.
