Administrative Support Specialist

This position is with the Fisheries Research and Development Division in the Office of Fisheries and is domiciled at the LDWF headquarters office in Baton Rouge. The incumbent will provide direct administrative support to the Administrator/Directors of the Division, coordinate administrative activities, and work as part of a team to meet the administrative needs of the Division and the Office of Fisheries. Learning Actively: The ability to acquire necessary knowledge and skills to improve performance and achieve organizational goals. Minimum Qualifications: Three years of experience in administrative services; OR Six years of full-time work experience in any field; OR A bachelor's degree. EXPERIENCE SUBSTITUTION: Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field. Job Duties and Other Information: Job Duties: Provides clerical services and expert advice on administrative matters to the Administrator and Section Directors. Advises the Administrator, Section Directors, and other administrative staff on Department policy & procedures, office activities, equipment needs, and/or repairs needed. Offers recommendations and suggestions of improvements, corrections or revisions needed. Independently prepares correspondence regarding administrative matters, general office policies and programs. Coordinates timely responses to inquiries from members of the legislature, local governments or the public regarding enforcement issues or LDWF policy. Maintains central filing system necessary for the smooth function for the section. Compiles monthly fuel reports, and coordinates maintenance and daily schedule for pool vehicles. Reviews travel requests and expense accounts for reimbursement in accordance with state travel rules and regulations and will secure reservations when necessary. Serve as primary time administrator for the Division. Provides purchasing support for equipment, supplies, and emergency repairs. Prepares shopping carts and PO's in LaGov. Reviews state contract listings and specifications to place items out for bid. Position-Specific Details: Appointment Type: Probational, Promotional, Job Appointment or Detail to Special Duty Career Progression: This position does not participate in a Career Progression Group Current permanent status classified state employees may be required to accept a Probational appointment if selected. If filled as a Job Appointment, there is a possibility that this position may be converted to a Probational Appointment should funding become available.
